Exhibitor Rules and Regulations
Exhibit Content & Operation
The AAMFT
reserves the right to refuse applications not meeting AAMFT
standards, as well as the right to curtail parts or all of
exhibits that do not reflect the character of the conference.
If an application for exhibit space is not approved, payment
will be refunded in full.
All exhibitors are responsible for obtaining the proper
sales tax permits for the state in which the Annual Conference
is held. First-time exhibitors
should include a sample brochure or pamphlet with their
exhibit application and contract.
No subleasing or sharing of
space is permitted.
Exhibit space is not intended for airing views on either side
of a controversial social, political, or professional issue.
In addition, potential exhibitors are advised that contests,
lotteries, raffles, and games of chance may not be conducted
without prior approval of the AAMFT. Exhibitors may not
display merchandise or promotional materials in the
registration area or other conference areas without
permission.
All exhibitors must wear badges
at all times.
Guests are not permitted in the exhibit hall during non-show
hours. An authorized company representative must staff each
exhibit during all show hours.
Each exhibit must be open for
the full duration of the show and be closed at all other
times.
Booth Description
All booths will be 10'x10'.
Booth dimensions that are indicated on the exhibit hall floor
plan may be approximate. No walls, partitions, decorations, or
other obstructions may be erected that in any way interfere
with the view of any other exhibitors. Exhibitors who wish to
use any nonstandard booth equipment, signs, decorations, or
arrangements of display material that conflict in any way with
these regulations must submit two copies of a detailed sketch
or proposed layout (including dimensions) at least 30 days
before the conference for approval by the AAMFT.
Exhibit Applications and Space
Assignment
Applications for exhibit space must be made on the form in the
exhibitor prospectus or
online Exhibit Application and Contract. Assignment of space
for accepted exhibits is made by the AAMFT. Space assignments
will be given on a priority submission basis and are
determined by the contract date and when payments are
received. Preference given for booth location is for guidance
of the AAMFT and is not guaranteed.
The AAMFT reserves the right to
assign exhibit space and rearrange the floor plan to relocate
booths.
Labor, Lighting, and Electrical
Work
Exhibitors are required to
observe all contracts enforced within the Memphis
Convention Center.
Adequate illumination of the exhibit area is provided.
However, individual electric outlets may be obtained at
additional cost. Electric utility services will be outlined in
the Exhibitor Service Kit.
Installation and Dismantling of
Exhibits
Installation and dismantling of exhibits must be performed
during special hours, which will be provided to you by the
AAMFT. Any exhibit space not set up by the end of installation
hours may be canceled or reassigned by the AAMFT.
Exhibits must not be disturbed,
dismantled, or removed before the scheduled breakdown time,
which will be provided in the Exhibitor Service Kit.
Booth Cancellation and Refund
Policy
All cancellations must be
submitted in writing. For cancellations received prior to July
25, 2008, a refund, less a $500 fee, will be made. No
refunds will be made on cancellations received after July 25,
2008. If the Annual Conference and exhibit hall are
canceled due to circumstances beyond the control of the
American Association for Marriage and Family Therapy, all
payments connected with the booth rental will be refunded.
Unethical conduct or infraction of rules on the part of the
exhibitor will subject the exhibitor to dismissal from the
exhibit area. In which event, no refund shall be made.
